Our client is a leading SaaS product company, providing innovative solutions to medical practices across 80 specialties. Their flagship product has transformed how practices manage and enhance their online reputations, helping them stand out in a competitive healthcare landscape.

The Problem

The client lacked a centralized database or system to store and access clinic information. This made it difficult for staff to quickly retrieve customer details, resulting in delays and inefficiencies in service delivery.

To address this issue, the client’s administrators on the clinic side resorted to uploading client information manually. However, this process was time-consuming and error-prone, leading to inconsistencies in data management.

The Challenge

Managing appointments

Managing appointments was very hard without a streamlined system. The manual process of scheduling and tracking appointments resulted in overlaps, missed appointments, and overall inefficiencies in company operations. 

The Process

Langate comprehensively assessed the client’s challenges, which included manual appointment management and the need for a centralized database.

The team decided that, first of all, the solution would need to involve establishing seven integrations. Setting up automated survey scheduling based on information extracted from HR systems would also be key to improving response rates and feedback accuracy.

Langate also decided to set up API requests every 15 minutes to pull real-time data for survey scheduling.

Automated Survey Scheduling 

We implemented automated scheduling to enable the client to send surveys based on extracted information. Surveys were scheduled to be sent to patients and doctors at appropriate times, improving response rates and feedback accuracy.

API Requests Every 15 Minutes 

The team set up a system to make API requests every 15 minutes to pull information from HR systems. This ensured the client had real-time access to relevant data for survey scheduling.
