Managing operations across multiple skilled nursing facilities (SNFs) can be complex, requiring coordination between various departments and systems. We created a custom, unified platform fully integrated with PointClickCare (PCC) that offers our client a comprehensive view of financial and operational data, streamlining their processes and improving efficiency. By automating routine tasks and enabling real-time updates, we simplified management processes and facilitated access to critical data from a single interface. This integration has improved operational efficiency in SNFs and enhanced the quality of care provided to residents.

The Client

Our client is a revenue cycle management (RCM) company that specializes in streamlining financial processes for skilled nursing facilities. They offer comprehensive solutions to optimize revenue generation, billing, and reimbursement. 

With a deep understanding of the SNF industry, the company implements tailored strategies to ensure compliance with regulations and maximize revenue capture. The client’s expertise lies in bridging the gap between healthcare providers and payers, facilitating smooth transactions and timely reimbursements. 

The Problem

The company faced a critical problem with data synchronization. The critical data entered into the PCC system on the SNF side needed to be accessible, otherwise it couldn’t synchronize with the client’s system, creating management problems. 

The primary concern was accurate reporting to track payments for patients, outstanding payments, and patient location details such as bed and department. Our client needed financial data, resident information, and other relevant details to be synchronized with their own system. Crucially, this data had to be up-to-date and consistent across both systems to enable efficient revenue cycle management and accurate reporting for SNF clients.

Primary Challenges

Data Inconsistency 

Due to the configurable nature of the PCC system and the varying practices across different SNF facilities, there was a significant issue with data consistency. Each facility had its own way of entering and managing data, leading to inconsistencies that prevented accurate reporting and synchronization. 

System Overload 

Managing data synchronization for 10–20 facilities within a single PCC database posed a substantial workload. The system had to handle a large volume of data, including financial, resident, and operational information, while maintaining high performance. 

Diverse Facility Practices 

Each SNF facility was tied to a single owner but operated differently within the PCC system. This diversity in operational practices meant we had to conduct a detailed analysis of each facility’s data and specific requirements. Mapping this data and ensuring continuous data supply for each facility added complexity to the project. 

The Process

Our process began with accessing PCC’s “reporting” database, since direct access to the transactional database was not available. PCC regularly updated the “reporting” database through scheduled jobs.

PCC evidently used multiple jobs to transfer various data segments from the transactional database to the reporting database. For instance, the census data underwent more frequent updates than other data, indicating a tiered update approach. 

We also discovered that PCC had a specific job to create a log backup from the “reporting” database, which was then uploaded to an FTP server. 

We coordinated with PCC to ensure data consistency in the reporting database. Even if one of the “PCC Datasync Jobs” failed or ceased operation, we would continue to receive log backups. 

The Solution

Financial Reporting and Real-time Updates 

Through integration, we were able to deliver a custom platform that gave our client financial reports and real-time updates. This gave them a comprehensive view of their financial performance and enabled them to make informed decisions promptly.

Data Synchronization 

Previously, data entry was manual, leading to frequent inconsistencies among PCC facility users. Integration helped us synchronize data, reducing manual errors and ensuring that all data across the facilities was consistent and up-to-date. Additionally, the integration allowed for easier error correction, empowering users to fix errors themselves, further improving data accuracy and efficiency.

Achievements and Future Plans

  • Our integration with PCC has been a significant success, enabling us to streamline processes and improve efficiency for our client. We have successfully implemented financial reporting and real-time updates, providing our client invaluable insights into their operations. Additionally, data synchronization efforts have significantly reduced manual errors and inconsistencies, enhancing the overall quality of data across facilities. 
  • While we have achieved a high level of integration, there are still opportunities for minor improvements in the data pulled from PCC. Initially, we focused on essential data such as patient name and date of birth. However, additional information, such as diagnoses, religion, and place of birth, could provide further insights and enhance the integration’s value. 
  • Looking ahead, we are considering API integration as a possibility. This would allow for even more seamless data exchange between systems and could further improve efficiency and accuracy in our client’s operations.
